Project Title: Event Elevation
The Event Coordinator intern plays a vital role in supporting the organization and execution of events. Liaise with internal and external stakeholders and work closely with clients, vendors, and team members to ensure successful event delivery. The Event Coordinator intern contributes to various event management aspects, helping create memorable experiences for attendees.
Project Description
The intern will help solve the challenge of improving communication and collaboration among internal and external stakeholders. Will work with clients, vendors, and team members to improve coordination for successful event delivery in Events Operations and reporting. This will increase the company's event management capacity during busy seasons or periods of high workload and help the team scale accordingly.
Scope of Work
The intern will be involved in many event-related activities and help elevate our brand image in said events.
The responsibilities include:

Support the Communications (Comms) team with setting up venues, booths or any other logistical work on events in which Irembo is involved in.

Be able to document processes about Comms, as well as meeting minutes and important information related to Comms, at a highly comprehensive and organized level. This also applies to Comms material stock management.

Work with vendors to get supplies on Comms and support with payment requests and follow-ups with the involved stakeholders.

Support with enforcing internal Comms of Irembo through company-wide syncs (Weekly Syncs).

Provide real-time support during events, external and internal, and work with stakeholders throughout the whole process to assist with logistics.

Develop advanced organisational knowledge on Irembo for interacting with external partners at Forums, conferences and events.
Required Skills
Education Background:

Bachelor’s degree in Business Administration, Marketing, Communications or related field.
Organizational Skills: Ability to efficiently manage multiple tasks and details.
Communication Skills: Clear and effective communication with stakeholders.

Key Deliverables

A streamlined tracking system for Comms material in our company stock.

Tracking of attendance during Irembo events and follow-up emails to clients after said events.

Occasionally lead the team weekly syncs - schedule speakers, coordinate the lineup and ensure there is content to be shared every week.
