Background 

ACROSSAID is a non-governmental organization (NGO) that works to better the lives of the most vulnerable children, young people, and their families while ensuring they have access to a successful life in its entirety, without discrimination of any kind, whether it be religious, racial, regional, or political. ACROSSAID works to create a better world in which children and young people have equal access to the advantages of leading fulfilling lives.

The four primary areas of activities that AcrossAid uses to implement its strategy are Quality Education (QE), Child Right and Protection (CRP), Action for Youth Development (AYODE), and Integrated Community Health and Livelihoods (ICH&L), among others. By avoiding school dropouts and boosting enrollment, AcrossAid has been working to develop the reading and writing habits of schoolchildren while ensuring equal access to high-quality education at all levels. The organization has stepped up its lobbying efforts and will keep doing so for child protection and rights through parental programs and community involvement, stopping teen pregnancies before their due dates, dealing with the issue of street children, and assuring youth socioeconomic development for a better future.

Expected Intern Outcomes

As a result, AcrossAid is looking for an intern who is highly devoted, skilled, and professional and who also has a love for the organization's goal. 

The chosen intern for the Administration and Finance post is expected to assist the management team by handling administrative, financial, and human resource activities for routine organizational management. In keeping with this, the intern is qualified to assist with the following tasks:

Financial Management

  • Controls bank accounts, payments, and treasury; handles bookkeeping and administration of invoices and accounting records in accordance with accounting standards;
  • Maintain and control office administrative costs by keeping track of budget purchases and delivering regular budget updates;
  • Assist in the planning, administration, and tracking of project budgets and expenses, keep an eye on cash flow, and foresee emerging patterns;
  • Help with the processing and keeping of documents and support in compliance with the laws and requirements of the donor, as well as the compilation of project financial statements and reports for donors;
  • Manage all accounts and create monthly account-by-account bank reconciliation statements;
  • Ensure that taxes are declared and paid on time, that any taxes that have been requested but not yet received have been reported, and that any other amounts recoverable under donor rules are processed, monitored, and recorded accurately;
  • Make sure that all rules (internal and donor-related) governing the acquisition of goods and services and record-keeping are followed.
     

Administration & Human resources 

  • Prepare and manage the organization's monthly payroll remittances, as well as timesheets, personnel files, and contract management.
  • Help the office of the AcrossAid Executive Director by taking care of various administrative responsibilities, such as composing formal letters, e-mails, memos, etc.
  • In the creation of reports and other office documents, assist the management.
  • Keep all organizational and office resources strictly secret by maintaining office database systems.
  • Organize and maintain the company's website and other social media channels.
  • Whenever necessary, carry out any additional office and administrative activities. 

Basic Requirements

Since this is a paid internship, the candidate's profile needs to satisfy the following standards in order to be considered for the position:

  • Possess a minimum Advanced Diploma (A1) in Finance, Accounting, Management, Administration, or a similar discipline, together with at least two years of professional experience;
  • Possess an A2 diploma in the aforementioned fields and have a minimum of three years of verifiable job experience;
  • A working knowledge of organizational procedures, record-keeping, and other administrative duties;
  • Possess knowledge of Microsoft Word, Excel, PowerPoint, and other computer programs.
  • Demonstrating proficiency with accounting software such as QuickBooks, Sage, Declaration Software, etc. and general accepted accounting principles (GAAP) will be advantageous;
  • Show that you are fluent in both English and Kinyarwanda. French language proficiency is preferred.
  • Strong interpersonal, organizational, and communication abilities should be displayed.
  • Goal-oriented, laser-like, active, fervent, and self-driven.
  • Integrity, teamwork, ethical considerations, and professionalism at the highest levels
