Administration and Logistics Professional Intern

World Vision is a child-focused Christian humanitarian organization implementing development programmes in 30 Districts of Rwanda. Our interventions in the strategic period of 2021-2025 seek to reach 2 million of the most vulnerable children. This is done through programming in Resilience and Livelihoods, WASH and Health, Child Protection and Education.

World Vision Rwanda seeks to hire a qualified, dedicated, and passionate Rwandan national for the role of Administration and Logistics Professional Intern, joining an established and experienced team. This stimulating role incorporates a range of skills and development in multiple areas, allowing for an exciting opportunity for career growth in a dynamic, global organization. It will be based in Kigali, Rwanda, and reports to the Administration and Logistics Manager 

The Purpose of the Role

The role of the Intern is to provide safe administrative service to the front desk/reception area, under the Admin and Logistics department with acceptable standards done effectively and efficiently.

The intern will also Support Administration and Logistics functions and processes by administering a conducive environment at the reception point and visitors' waiting area.

Major Responsibilities

  • Welcoming visitors and directing them to the recipients
  • Receiving and responding to office calls
  • Receive couriers, register them, and distribute them to the consignees
  • Hotel bookings for guests’ accommodation and conferences
  • Internal office meeting rooms/hall bookings for various meetings
  • Follow up air ticket booking with the travel agent
  • Monitor/track/process payment bills and other invoices from the service providers
  • Prepare monthly airtime/communication lists for staff
  • Prepare monthly activity reports

 

Knowledge, Skills, and Abilities

  • Bachelor’s degree in Business Administration, Hospitality Management, and Public Administration
  • Good computer skills
  • Experience in front desk responsibilities
  • Good analytical skills with attention to detail
  • Customer service orientation
  • Well-developed interpersonal humility
  • Strong communication skills
  • Should be computer literate in Microsoft Word, Excel, and other software packages

Other Competencies/Attributes:

  • Ability to collaborate with multi-disciplinary teams
  • Good communication and interpersonal skills
  • Must be a committed Christian, able to stand above denominational diversities

Preferred Skills, Knowledge, and Experience:

  1. Well organized, with a high degree of accuracy and attention to details
  2. Proficiency in MS Office (Outlook, Excel, Word, etc.)
  3. Forward-thinking and innovative, with an ability to research, analyze, and evaluate data
  4. Self-motivated and with the ability to work in a fast-paced dynamic team environment

Location: World Vision Rwanda National Office-Kigali-Nyarutarama.

Length of contract: Three (3) Months renewable
