Job Summary

The Project Assistant Manager is responsible for ensuring projects are planned, executed, and completed successfully within agreed scope, budget, timelines, and quality requirements. The role leads and manages smallto medium-scale, high-impact initiatives such as technology integrations, regulatory compliance projects, and product launches. The Project Assistant Manager coordinates resources, schedules, stakeholders, vendors, and project teams while managing risks and ensuring successful delivery.

Key Responsibilities and Accountability

Project Initiation

  • Understand business needs and project objectives.
  • Develop Project Charters with stakeholders.
  • Define preliminary scope, budget, timelines, and assumptions.
  • Identify stakeholders and establish governance structures.
  • Conduct initial risk assessments and feasibility reviews.

Project Planning

  • Develop detailed project plans and schedules.
  • Define Work Breakdown Structures (WBS).
  • Establish project budgets and resource plans.
  • Create risk, issue, dependency, and stakeholder management plans.
  • Define communication and reporting frameworks. Project Execution
  • Coordinate project teams and vendors.
  • Manage project deliverables and milestones.
  • Facilitate project meetings and decision-making forums.
  • Track progress against scope, schedule, and budget.
  • Ensure quality standards are maintained.

Monitoring & Control

  • Monitor risks, issues, and dependencies.
  • Track project KPIs and performance metrics.
  • Manage scope changes through change control processes.
  • Provide regular status reports to stakeholders and leadership.
  • Escalate project challenges appropriately.

Project Closure

  • Ensure all deliverables are completed and accepted.
  • Conduct lessons learned sessions.
  • Complete project documentation and handover.
  • Close financial and contractual obligations.
  • Support transition to Business-as-Usual (BAU).

QUALIFICATION, SKILLS AND EXPERIENCE

  • Bachelor's degree in Business, IT, Engineering, Finance, or related field
  • PMP, PRINCE2, Agile, Scrum Master, or equivalent certification
  • Experience managing cross-functional projects

  • Strong knowledge of project management tools such as MS Project, Smartsheet, Jira, or similar
  • Proven experience delivering medium to large business and technology projects.
  • Experience working with multiple stakeholders, vendors, and executive teams.
