The Job holder will Coordinate and oversee administrative duties of the Directorate while providing high-level support to the Executive Director. This includes managing schedules, organizing meetings and missions, handling correspondence, and ensuring efficient day-to-day operations of the Directorate.
Job Responsibilities

Manage the Executive Director’s calendar and appointments.

Schedule and coordinate meetings on behalf of the Executive Director.

Monitor and follow up on correspondences through the Electronic Data Management System (EDMS).

Draft and prepare correspondence on behalf of the Executive Director

Ensure compliance with the Delegation of Authority Guidelines and the Citizen Charter.

Ensure adherence to the Bank’s House Style Manual in all communications.

Maintain proper archiving and an up-to-date filing system as custodian of documents within the Directorate.

Coordinate both physical and virtual meetings for the Executive Director.

Ensure appropriate protocol is followed for internal and external guests, in coordination with the Security and Protocol team.

Receive and relay messages in a timely and professional manner.

Monitor and maintain adequate stock of office supplies.

Ensure cleanliness and order are maintained in the office and surrounding areas.
Job Requirements

Bachelor’s degree in Secretarial Studies, Administration or a related field.

2 years of experience in a high-level administrative or executive assistant role.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with document management and other administrative systems.
