JOB PURPOSE
The Bids & Partnership Associate is responsible for supporting and coordinating the end-to-end bid process, ensuring accurate and timely proposal submissions, and assisting in managing strategic partnerships that contribute to business growth. The role involves collaborating with internal teams, engaging with external stakeholders, and assisting in identifying opportunities that enhance the company’s market positioning. Additionally, the position supports contract administration, focusing on compliance, cost efficiency, and adherence to agreed timelines.
WHAT YOU WILL DO:
1. Bid Coordination:
- Identify and track relevant tenders, RFPs, and bidding opportunities in the telecommunications and ICT sector.
- Assist in compiling and submitting competitive bid proposals in compliance with customer requirements and company objectives.
- Collaborate with technical, finance, legal, and sales teams to gather required bid information.
- Ensure timely preparation and submission of bids, while maintaining compliance with bid conditions.
- Maintain and update a bid library with reusable content, case studies, and past proposals for future reference.
2. Strategic Partnerships:
- Assist in identifying potential partnerships with key industry players, technology vendors, and service providers.
- Support engagement with regulatory bodies, government entities, and private sector organizations to explore business opportunities.
- Assist in drafting and reviewing partnership agreements to align with company objectives.
- Stay informed on industry trends, competitor activities, and market needs to support decision-making.
3. Contract Management:
- Assist in contract preparation and review to ensure alignment with company objectives.
- Monitor contract performance to support compliance with agreed terms, service delivery, and project timelines.
- Track contract expiration dates and support timely renewals or renegotiations.
- Work with legal and finance teams to ensure adherence to regulatory and contractual requirements.
4. General Responsibilities:
- Track and report on bid outcomes to support improvement of bidding strategies.
- Ensure compliance with internal policies and external regulations in all partnership, bidding, and contract activities.
- Prepare basic reports and presentations on bid status, partnership developments, and contract progress for management review.
- Support business development initiatives and networking activities to enhance company visibility.
QUALIFICATIONS & EXPERIENCE
Education
- Bachelor's degree in Business Administration, Project Management, Procurement & Supply Chain, Engineering, Finance, or a related field. A Master's degree or MBA is an added advantage.
- Professional certification in Project Management (e.g. PMP, PRINCE2) and/or Quality Management is an added advantage.
Experience
- 3–5 years of experience in bid/proposal management, business development, contract management, or strategic partnerships.
- Experience managing the full bid lifecycle, including tender analysis, compliance reviews, proposal preparation, and submissions.
- Ability to build and manage strategic relationships with clients, partners, and stakeholders.
- Understanding of contracts, procurement processes, commercial negotiations, and compliance requirements.
- Strong written, verbal, presentation, and relationship management skills.
- Ability to manage multiple priorities, coordinate stakeholders, and meet deadlines
- Strong problem-solving skills with the ability to assess tender requirements, risks, and opportun
- Proficiency in Microsoft Office Suite, CRM systems, and tender/procurement platforms.
