We are currently seeking to hire a highly organized and proactivean Executive Assistant to the COO & Management Team to join our team at our Head Office in Kigali.

Job Title: Executive Assistant to COO and Management Team

Reports to: COO

Job Purpose:

The Executive Assistant will provide high-level administrative support to the COO and senior management team, ensuring seamless coordination of schedules, meetings, and communications. This role requires a highly organized individual who can multitask in a fast-paced environment, maintain confidentiality, and contribute to the overall efficiency of our operations across various countries.

Key Responsibilities:

• Provide day-to-day administrative support to the COO and senior management team.
• Coordinate and manage complex calendars, including scheduling meetings, conference calls, and travel arrangements across multiple time zones.
• Prepare, review, and manage documents, reports, presentations, and correspondence.
• Act as the point of contact for internal and external communications on behalf of the COO and management team.
• Assist in the preparation of executive summaries, presentations, and other reports for senior leadership meetings.
• Manage and coordinate travel logistics for the COO and management team, ensuring smooth arrangements.
• Support cross-functional coordination and manage projects involving teams from various markets.
• Monitor and manage deadlines, ensuring that action items are tracked and completed on time.
• Assist with expense reporting, budgeting, and other financial tasks.
• Perform ad hoc administrative duties as assigned to support the overall operations of the company.

Qualifications & Experience

• Bachelor's degree in Business Administration, Management, or a related field.
• Proven experience as an Executive Assistant or in a similar role, supporting senior-level executives.
• Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
• Strong communication skills in both English and French, with proficiency in written and verbal communication.
• High attention to detail and problem-solving skills.
• Ability to handle confidential information with integrity and professionalism.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools.
• Familiarity with travel arrangements and calendar management.
• Experience working in a multinational environment and across different time zones is an advantage.
