SENIOR ADMINISTRATION MANAGER

Job Summary:

Reporting to the Head of Corporate Services, the Administration Senior Manager shall oversea the Bank-wide General Services, Bank Property & Facilities management, Fleet Management, and Document and Records Management.

Key responsibilities and accountabilities

  • Elaborate, submit for approval, and execute the budget for administration department including all branches
  • Supervise the administration team on the bank ling of records, storage, and security of documents, while reporting to the Head of Corporate services
  • Supervise the Administration team on waste control and cut unnecessary costs through organizing and scheduling of auctions with support from the head of corporate services and Finance.
  • working with branch representatives to ensure that key branch facilities are timely availed.
  • Work with the property & Facilities team to ensure timely repairing and maintenance of office equipment.
  • Building strong working relationships both internally and key stakeholders outside the bank
  • Understanding and keeping up with new trends and regulations in the business
  • Work with the General Services Manager to estimate fuel needs for sta and bank vehicles.
  • Work with the General Services Manager bank vehicles maintenance schedules
  • Work with the General services Manager to allocate fuel and supervise all activities related to transport, including the schedule of vehicle deployments.
  • Work with the Property and Facilities Manager in all activities related to maintenance of premises.
  • Work with the Property and Facilities Manager on all Construction Projects execution within timelines
  • Coordinate all the Properties and Faculties team on all matters of Construction Contractors and Consultants
  • Work with the Property & facilities Manager on all reports required by the bank and Group
  • Supervise and oversee all overseas transport and accommodation for equity sta and visitors together with the general Services
  • Work with the General Services team on supervising all bank leased Vehicles.
  • Work with the General Services to supervise the allocation of drivers.
  • Work with the General Services to manage and ensure that the banks’ motor vehicles always remain in serviceable conditions.
  • Work with the General Services team to co-ordinate the bank’s employees’ movement through equity bank motor vehicle requisitions by the business units, taxi services, car hire and usage of personal vehicles by the bank’s employees while on duty.

  • Work with the General Services Manager to coordinate the receiving and dispatching of ocial mail, mailbags, parcels within and out of the bank.
  • Work with the General Services Manager to coordinate the printing of cheque books for the bank’s customers as per the orders placed by the branches.
  • Work with the General Services Manager to coordinate the provision of accommodation and conference services to the bank employees when needed.
  • Work with the General Services Manager to provide and coordinate administrative and support services as may be required by the bank from time to time; this will include oering logistical support to the various units in the bank from time to time as bank needs, meeting set up within the bank’s premises or otherwise.
  • Work with the General Services Manager for coordination of use of leased equipment and management of the respective contracts.
  • Work with General Services Manager and supervision of outsourced services within the bank and management of the respective contracts, for example cleaning services, postage services, and provision /replenishing of kitchen consumables.
  • Work with the General Services Manager to manage the bank ling, storage, and security of documents.
  • Work with the General Services Manager in managing any waste and unnecessary costs
  • Working with the General Services Manager ensures all the bank’s assets are appropriately insured against any plausible risk.
  • Work with the General Services Manager and branch representatives to ensure that key branch facilities are timely availed.
  • Any other responsibility may be required by the head of the department and Management

Candidate’s Qualifications, Skills, Experience and key Attributes

  • Bachelor’s degree in any of the Business administration Management, Finance or Accounting, Economics and/ or Project Management. A master’s degree and professional courses in relevant elds will be an added value.
  • Minimum of 5years of relevant work experience. Experience acquired from working with Banks will be added value.
  • Strong Administration and Project management skills.
  • String interpersonal communication Skills
